Prerequisites and role: Solo and Agency advisors, admins, and owners with client write access can create or edit records; assistants normally review only. Confirm how each person is related and who may receive case communication.
Steps: 1. Open Client cases and choose Add client case; enter the verified Primary contact and source information. 2. Open the case, use Link care recipient, and select an existing person or create the person receiving placement help. 3. Add Case contacts and record each Relationship to care recipient. Choose the appropriate routine-update contact. 4. Review the connected Care recipients and use New Placement only for the intended person and case.
Expected result: the client case shows its care recipient, contacts, source, and placements without combining unrelated people.
Exceptions and recovery: if no care recipient exists, create one before opening a placement. If search returns no client, clear filters and check spelling before creating a duplicate. A restricted role may view details without Edit, Delete, or New Placement. If the wrong person was linked, stop outreach and correct the relationship before proceeding; a shared address alone is not decision-making authority.
Operator duty: verify identities, consent, decision-makers, referral attribution, and the correct communication recipient. Do not infer a family relationship from a shared address.
Family visibility: internal source, likelihood, notes, and relationship administration remain private unless deliberately communicated.
Reverify: confirm the primary contact and decision-makers at intake, before routine updates, and whenever family participation changes.
