Answer first
Your agency creates and issues each invoice and remains the merchant of record. Online collection requires a ready agency-owned Stripe connected account; Stripe processing costs are separate. SeniorPath's application fee on eligible online invoice payments is 0.4% for Solo or 0.1% for Agency, based on the connected account's plan snapshot. QuickBooks Online synchronization is optional and does not replace the settlement ledger.
Prepare the invoice workflow
Set the agency’s issuer details, branding, numbering, payment terms and remittance instructions. Owners and admins have invoice access; other team members need an invoice grant.
Bill communities, families or professional partners according to your agreements. Placement-generated invoices use saved contract terms and move-in facts.
- Use the facility-placement starter for a recorded placement fee
- Use the client-service starter only for authorized additional services
- Use professional referral-fee language only where law, professional rules, disclosures, and written agreements permit it
Draft, approve, deliver, and correct
Edit an invoice draft before issuing it. Issuing fixes the invoice snapshot. Expired delivery links can be recovered from the existing invoice.
Partial payments leave a balance open. Credits reduce the amount owed; refunds return cash. Clawbacks stay linked to the placement. Void an invoice that is no longer collectible or supersede it with a corrected document.
Your agency owns Stripe payments
Your agency owns the connected Stripe account, receives proceeds and handles payouts, refunds and disputes. Online checkout starts after Stripe onboarding.
Stripe processing costs vary. SeniorPath's application fee on eligible online invoice payments is 0.4% on Solo or 0.1% on Agency. The connected account's plan and fee snapshot sets the rate; a later subscription change does not automatically revise it. Offline payments do not use Stripe checkout.

Reconcile and recover safely
SeniorPath’s settlement ledger preserves invoice balances, payments, credits, refunds, and clawbacks. QuickBooks Online is optional. An owner initiates QuickBooks authorization or reconnection; an owner or admin can configure mappings, sync, and reconcile. After authorization, refresh the catalog and map the service item, income account, and accounts-receivable account; add payment or refund mappings only when those flows need them.
Reconnect revoked authorization, replace stale mappings after a catalog refresh, and resolve duplicates in QuickBooks before retrying. Compare the settlement ledger to Stripe payouts and refunds, then reconcile accounting entries. Material external edits and balance conflicts require an operator decision; SeniorPath does not silently choose a winner.
- Delivery issues: recipient, status and link state

Frequently asked questions
Is SeniorPath the merchant of record for my agency invoices?
No. The agency issuing the invoice is the merchant of record and owns its connected Stripe account and payment liabilities.
Are Stripe and SeniorPath payment fees one fixed rate?
No. Stripe processing costs vary under the agency’s Stripe agreement. SeniorPath separately charges a 0.4% Solo or 0.1% Agency application fee on eligible online invoice payments, based on the connected account's plan snapshot. Offline payment records do not use that checkout fee path.
Does QuickBooks replace SeniorPath invoice records?
No. QuickBooks Online sync is optional. SeniorPath retains its invoice settlement ledger, while mapping and conflict workflows control what is posted to QuickBooks.
